Terms & Conditions

Payment Terms:

  1. Initial Consultation & One-Off Sessions Payment for the initial consultation and any one-off sessions must be made in full prior to the session. Agreed blocks of therapy sessions may also be paid for in advance.

  2. Recurring Sessions For regular, contracted sessions, invoices will usually be sent via email on either a weekly or monthly basis, depending on the agreed schedule. Payments are due within 7 days of receiving the invoice. Late payments may incur a £15 administration fee.

  3. Private Medical Insurance Clients using private medical insurance are responsible for paying invoices directly and claiming reimbursement from their insurance provider. Please confirm coverage for speech therapy before starting sessions.

  4. Fee Adjustments Fees are subject to annual review. Clients and schools will be notified of any changes at least 4 weeks in advance.

Cancellation Policy:

  1. Cancellation Prior to Appointment Day If you cancel your appointment at least one day before the scheduled session, it can be rescheduled at no additional cost.

  2. Same-Day Cancellation Cancellations made on the day of the appointment will be charged the full session fee and the bill-payer will be invoiced for the full cost of the session. 

Confidentiality and Communication:

  1. Confidentiality of information

    All information obtained during the assessment and therapy process is treated with the utmost confidentiality and managed in accordance with data protection legislation. Information will only be shared with other professionals involved in your child’s care on a need-to-know basis and only with your prior written consent.

    Clinical notes are stored securely using WriteUpp, a GDPR-compliant practice management system designed for healthcare professionals. We also use Heidi Health to support the transcription and dictation of clinical notes. This may include audio recording parts of therapy sessions solely for the purpose of accurate clinical documentation.

    By engaging in therapy, you provide consent for the use of these systems, including the audio recording of relevant parts of sessions for note-taking purposes. Audio recordings are not retained beyond what is necessary for transcription and clinical record keeping, and access is strictly limited to the therapist involved in your child’s care

  2. Child Welfare Concerns If, during the course of therapy, concerns arise regarding your child’s welfare, we are legally and ethically bound to follow our professional code of conduct. This may include passing on relevant information to appropriate agencies, such as child protection services, without prior consent if the situation warrants immediate action.

  3. Coordination with NHS and Other Services If your child is receiving therapy through the NHS or any other service, we will coordinate with their therapist to ensure consistency in therapy goals and approaches. Consent for this liaison is strongly encouraged to avoid contradictory targets and maximize the effectiveness of therapy.

  4. Safeguarding We take safeguarding very seriously throughout the organisation and all attend regular safeguarding and child protection training. Please refer to the website to view our safeguarding policy.

  • Contact and healthcare records needed to identify and assess the client.

  • Educational records relevant to ongoing assessments.

  • Clinical records needed to provide a service.

  • Financial records for billing.
